Two real estate businesses, two cities, the same question: where do the buyers come from when property portals sell the same lead to five brokers? Over the same two weeks we got a Kolkata residential project 118 enquiries and a Chennai brokerage 57 leads, 28 of them qualified. This is how, and the one lesson that matters more than the ads.
At a glance
| Clients | A channel partner selling a residential project in Kolkata, and a property brokerage in Chennai |
|---|---|
| Goal | Buyers who can afford the flat and will visit the site |
| Channels | Meta lead form ads, website tracking, WhatsApp AI replies, CRM |
| Period | 20 October to 2 November 2026 |
| Result | Kolkata: 118 enquiries (115 from ads). Chennai: 57 leads, 28 qualified, 51 contacted |
The challenge
Both clients had tried portals. The Kolkata seller was paying for leads that other brokers also called within minutes. The Chennai brokerage had good projects (flats from about ₹7,500 to ₹8,000 per sq ft) but enquiries came in on WhatsApp, the website and phone, and nobody could say which ad brought which buyer.
What we did
- Read the project first. Price, size, location and the buyer who can afford it went into the plan before any ad was written. For Kolkata that meant Kolkata and North 24 Parganas, buyers aged 32 to 55, homeowners upgrading and families moving closer to work.
- Lead form ads in the client's own Meta account. The AI built the campaign on the client's Cloud Desktop, paused, and it went live only after the client approved it. The instant form asked budget, flat size and when they want to move, so every lead arrives with answers.
- One list for every source. Facebook forms, the website form (through our tracking script) and WhatsApp chats all land in the same CRM, so the client sees one list instead of four.
- An instant first reply. The WhatsApp AI greets each new enquiry in seconds, confirms the project, asks two questions and offers a site visit time. For Chennai we also built a Tamil-speaking AI receptionist that answers calls and books visits.
The results
- Kolkata: 118 enquiries in 14 days, 115 of them from the lead form ads.
- Chennai: 57 leads in the CRM, 51 contacted, 28 marked qualified (right budget, right area, real intent).
- Every lead carries its source, so the next budget goes to what brings buyers, not clicks.
The lesson: volume is not the hard part
The Kolkata ads worked faster than the seller could call. Within days more than a hundred people were waiting for a first call, and a property lead goes cold in hours. That is why our default is now the WhatsApp AI answering first, every time, and handing the serious buyers to the sales team with their answers. In Chennai, where the AI was answering from day one, almost every lead was contacted.
How we work for real estate
- Real photos and walkthrough video of the actual project beat glossy renders.
- Forms ask budget and timeline, so you do not drive to a site visit with someone who was browsing.
- Google search ads catch buyers typing the project or locality name; Meta ads reach buyers who have not started searching yet.
- Daily proof: the client gets an Ads Manager screenshot and the day's leads, not a monthly PDF.
Questions owners ask us
How much should a real estate developer spend on ads?
Start with a budget you can keep for a month, usually ₹500 to ₹2,000 a day per project in India, and judge it on site visits booked, not on cost per lead alone.
Are Facebook lead form leads real buyers?
Many are, but not all. That is why the form asks budget and timeline and why the first reply happens in seconds: real buyers answer, browsers drop off, and your team calls only the ones worth calling.
Do I need my own ad account?
Yes. Everything runs in your own Meta and Google accounts, so the data, the audience and the history stay yours.
How we report: every number here comes from the client's own lead list in our CRM for 20 October to 2 November 2026. We do not name clients without their permission.
Want the same for your business? Leave your WhatsApp number and we will show you, for your industry and city, which ads to run, what the AI says to your enquiries and what a realistic first month looks like.
